Description :
1. To handle general administration functions.
2. To assist in managing departmental office maintenance and up keep.
3. Maintaining business/ customer contact database, corporate files and business plans.
4. To carry out administrative duties including material/ equipment sourcing and supplier management, office documentations, government and regulatory bodies follow ups.
5. Planning and scheduling projects and ensuring timely completion.
6. Interacting with suppliers, senior-level executives, and all other levels of employees.
7. Coordinating workflow and maintaining a productive working environment.
8. Excellent calendar management skills, scheduling meetings and handling logistics.
9. Ensure general office assets are in order at all times. Follow up repair and maintenance issue when required.
10. Monthly Retrieval of Entry Pass Report (door access).
11. Monitoring and updating of purchase/transfer/disposal of asset and insurance coverage for yearly renewal before expiry date.
12. Arrangement for yearly renewal of company cars’ Vehicle insurance and Road tax before expiry dates.
13. Yearly arrangement of the old files to be transferred to Records Management Warehouse (RMS).
14. Verify invoices before submission to Finance Department for payment arrangement.
15. Upkeep tidiness of store room and ensure storage rules and guidelines are adhered.
16. Ensure office printing materials/stationeries/refreshment is sufficient. Assist in purchase, record and stock monitoring. Sourcing for cost saving range of stationeries etc for the Company.
17. Arrangement of mailing and postage items.
18. Other assignments from time to time. 
Requirements :
1. Degree/ Diploma in Business Administration or equivalent.
2. At least 5 year(s) of working experience in the related field is required for this position Good interpersonal skill and able to work independently.
3. Able to multitask and work within tight deadline.
4. Good command of written and spoken in English and Bahasa Malaysia.
5. Familiarity with personal computer and intermediate Microsoft Office skills is necessary.
6. Pleasant personality and have a strong leadership skill.
7. Applicant must be willing to work in Kuala Lumpur.
8. Manage and responsible to negotiate, review office building contract, general insurance arrangement for the Company
9. Coordinate office move as and when needed
10. Prepares and produces correspondence, documents and reports
11. Coordinates meeting schedule as and when required
12. Attending and assisting with running of meeting and follow-up of meeting action items
13. Creates and maintains record and manage the filing systems, and confidentiality of information
14. Assists with communication to suppliers and others
15. Provides back-up support to other administrative personnel as needed or assigned
16. Ensure maintenance of sufficient stocks of stationery and other basic office requisites
17. Assist in organizing company social events
18. Any other work which may be assigned from time to time
19. Ability to prioritize while being self-directed
